Business Operations & AI Manager (COO Office)

At Catalyze, we're creating a new role at the intersection of operations, systems, data and AI. This is not a traditional operations role. You will work directly with the COO to help rethink how a consultancy organization operates and turn improvement opportunities into real business impact. From smarter staffing decisions and better operational insights to workflow automation and AI-enabled ways of working, you will help shape how Catalyze operates in the years ahead.
This is a unique cross-functional role sitting across Consultancy, Business Development and Operations. It combines business operations, systems, operational intelligence, execution and AI-enabled transformation in one scope.

Your role brings together three core areas of responsibility: AI-Enabled Operational Excellence, Business Systems & Operational Intelligence, and Resource Management & Project Allocation.
AI-Enabled Operational Excellence
One of your key responsibilities will be helping Catalyze identify where AI and automation can create meaningful business value. We are not looking for someone who is merely interested in AI. We are looking for someone who has already applied AI to improve workflows, automate work and create business outcomes.
Your responsibilities include:
Business Systems & Operational Intelligence
You will help turn our business systems into reliable sources of operational truth, enabling better planning, reporting and decision-making.
Your responsibilities include:
Resource Management & Project Allocation
You will coordinate staffing and resource allocation across consultancy teams, ensuring that project needs are matched with the right expertise, availability and priorities.
Initially, a significant part of the role will be hands-on. Over time, we expect you to identify opportunities to improve and redesign these processes.

- Applying AI and automation tools to improve business operations and decision-making
- Improving scalability and operational efficiency through practical AI deployment
- Designing smarter and more scalable and future-proof processes
- Continuously bringing new capabilities and innovative use cases to the table.
Business Systems & Operational Intelligence
You will help turn our business systems into reliable sources of operational truth, enabling better planning, reporting and decision-making.
Your responsibilities include:
- Optimizing Certinia and Salesforce as reliable operational sources of truth
- Ensuring project, resource and operational data is accurate, complete and actionable
- Improving operational reporting, dashboards, forecasting and management insights
- Building data-driven visibility into utilization, delivery capacity and sales pipeline alignment
- Improving data quality and operational decision-making across the organization
Resource Management & Project Allocation
You will coordinate staffing and resource allocation across consultancy teams, ensuring that project needs are matched with the right expertise, availability and priorities.
Initially, a significant part of the role will be hands-on. Over time, we expect you to identify opportunities to improve and redesign these processes.
Your responsibilities include:
- Coordinate day-to-day project staffing and resource allocation
- Aligning staffing requests with expertise, utilization and project priorities
- Improving visibility into resource availability, capacity and forecasting
- Supporting the development of more intelligent staffing and resource management approaches
- Coordinate and manage operational processes around our freelance consultant pool
- Identifying opportunities to improve how we plan, allocate and utilize resources
What do you bring?
- 3-5 years of experience Business Operations, Business Analysis, Consulting Operations, Operational Excellence, ERP/Systems Operations or a similar role
- Demonstrated ability to apply AI and automation tools to improve business workflows and operations
- Hands-on experience testing and implementing AI use cases in a business environment
- A track record of improving processes, workflows or ways of working
- Strong analytical and commercial judgment, with the ability to measure performance and turn data into actionable recommendations.
- Experience with Certinia, Salesforce or comparable ERP/business systems
- Strong analytical and stakeholder management skills
- Experience with dashboarding and operational reporting
- Experience turning data into actionable insights and recommendations
- Strong stakeholder management and communication skills
- An entrepreneurial, positive and energetic mindset
