Introduction of the position
The position of team lead of the back office is an new position within Fluiconnecto. The position is created in order to support the operations manager EMEA hub in the day-to-day management of the back office of EMEA hub. The team lead will also perform operational tasks.

The objective of the position is manage the day-to-day activities of the back office of EMEA hub. The back office consists of procurement employees (currently 4 positions) and service desk employees (currently 5 positions). The team lead will set priorities for the team and will be the go-to person in case of questions or escalations. It is expected that the team lead activities will take between 20-30% of the time; for the remaining part of the time the team lead will perform (the most complex) activities within the service desk.

The goal of the service desk activities is to provide first clas service to the internal customers of EMEA hub according to what has been agreed in the service level contract. The service desk employee is the first point of contact for the internal clients of EMEA hub. In case of questions or requests the internal clients contact the service desk in order to resolve the issue at hand or to get the information that they require.

Based on the type of request the service desk employee will need to investigate together with the warehouse team, perform a deep dive into the system or contact other departments or external suppliers to find a solution or to retrieve the required information.

The team lead should ensure that the service desk is manned between 08:00 and 18:00, where the exact working hours are set in mutual agreement with the team.

The main jobs & tasks of the team lead back office are

Team lead activities
  • Execute the day-to-day management of the back office activities: set priorities for the employees and be the go-to person in case of questions or escalations
  • Function as the 2nd point of contact for internal customers in case there is an escalation or a complex request
  • Coordinate the daily occupancy of the back office and ensure sufficient employees are available to cover the work
  • Coach, train and develop the back office employees in order to develop them and improve the quality of work
  • Create a long term personnel plan ensuring that the right people with the right skills will be available and ensuring that talent is retained within the organization

Service desk activities
  • Answer telephone calls and emails from internal clients with regard to any kind of service performed by EMEA hub
  • Investigate in the ERP system (D365) what the root cause is of an issue and resolve it. Examples of checks to be performed are
    • Checking if an item is in stock
    • Check if items are released for picking and shipping
    • etc
  • Perform administrative tasks to support a smooth process flow. Examples are
    • Cancel open work
    • Cancel order remainders
    • Update prices or confirmed delivery dates
    • Posting of packing slips
    • etc
  • Maintain relevant master data in D365 (e.g. logistics master data for customers)
  • Support in finding root causes in case of issues
  • Support in improving the userfriendliness of the system and the set up of the system
  • On occasion participate in Supply Chain projects

Key skills & abilities

  • Educational at a education level at HBO or higher
  • Minimum of 3 years of experience in managing teams
  • Good level of Dutch and English; other languages are considered a plus
  • Strong communication skills, both verbal and written
  • Experience with managing and developing a team
  • Ability to assess what priorities are
  • Drive for results and the ability to implement changes
  • Ability to make long term plans and ensure these plans are turned into action
  • Good working knowledge of and experience with Outlook, Excel, Word
  • Experience and working knowledge of Microsoft Dynamics D365 is considered a plus
  • Be stress tolerant and stay calm when under pressure
